Minutes of Prior Meeting (Kirsten)

Stakeholder & First Nations Engagement (Kirsten & Margaret)

●      Yale First Nation update – no update

●      BCORMA - no update

●      Section 56 update - no update

●      Barrick

○      Kirsten described the visit with Allison Brown at Nickelmine site on June 2nd.  Allison was appreciative of all of the work that the club has done to improve the social value of their lease land, expressed thanks for filling the potholes on the FSR, and drainage was discussed at the swale just past the fork in the road at the new staging area. Barrick may undertake a project to improve the drainage so that the swale is not needed.

●      Cascade Lower Canyon Community Forest

○      CLCCF made Kirsten aware of a complaint regarding dirt bike traffic on the Stulkhawits FSR, just beyond the yellow gate at the bottom of the Nickelmine FSR. It is not clear what the complaint is and Shawn Dearden agreed to pursue discussions with the property owner’s family member that lives at the residence. [Action:  Shawn Dearden]

 

Membership Report (Margaret & Ann)

●      March membership drive summary

○      May memberships:  12 Single & 38 Family

●      Membership total YTD

○      YTD memberships:  38 Single & 77 Family

○      Memberships are down 25% from prior year, likely due to the poor weather

○      Margaret described the Square which is used in conjunction with her iphone to take off-line, electronic payments for memberships at the campsite. She processed two payments to date. She has to have cell service within 24 hours to fully process the payment to our bank account.

 

Communications Report (Kirsten)

●      Facebook and Instagram activity update

○      Social media presence continues to increase. There are many ‘New’ memberships this year contributing to the club’s goal to add new faces to the club and build for the future.

 

Finance Report (Sylvie)

●      YTD Performance against budget (Sylvie)

○      It was a big spend month!

○      Total expenses –  $11,791.06

○      Total income – $2,079.00 (2022 memberships and BCORMA Trail Passes)

○      Key expenses include:

■      Learner’s Loop - $6,116.47

■      Signage – $2,233.45

■      Campground Improvements – $2,453.00

●      Grant update (Kirsten)

○      CLCCF actual spend to date - $11,290

■      All work completed

■      Completion report due to CLCCF

■      CLCCF  Grant Awarded - $11,290.00

○      BC ORV grants have been awarded May 1, 2022 but cheques have not arrived yet

○      The bulk of the BC ORV grants have been spent with small amount remaining for Trail Maintenance and Trail Restoration and Chain Saw Training

Trail Maintenance & Planning (Jack)

●      Trail Maintenance status (June 11th, 2022 update)

○      Bear Shit Boulevard – Washout bridged

○      Going Postal – Boardwalk completed over muddy area

○      I Am Canadian – Fill brought in from staging area for I Am Canadian 1 restoration

●      Trail Restoration status – 5 trails in various stages of restoration

○      Bridge Trail (open, needs signage)

○      Campers Pampers (needs signage, ready to be opened?)

○      Going Postal & small spur named Captain Jack (open and signed)

○      Too Tight (open and signed)

○      I am Canadian (in Progress)

●      Trail Signage status

○      All street signs received and placed

○      Fibreglass wands and installation equipment ordered and ready for pick up

○      All trail name label materials received

Grounds Maintenance & Planning (Kirsten)

●      All work completed May 30th - June 5th, 2022

●      Fire pits need rocks placed in bottom

●      Thanks to all of the volunteers and to Margaret & Dave and Nathan Casperson who stayed for the following week/weekend to help finish the work

 

 

Event Planning

●      Margaret to decide if a Rodeo and Scavenger hunt will be held August long weekend

 

ORV Funding (Kirsten)

●      Trails and Construction Funding

o   Discussed being careful to coordinate remaining trail maintenance and restoration funds so that we don’t overspend the BC ORV Construction grant.

o   Funds may be allocated to Matterhorn and I am Canadian restoration

●      Education and Safety

o   Chainsaw training to be advertised

o   Dave Althaus, Jennifer & Jeff James and Darrell Peck are interested in chainsaw training.

 

Other

●      2023 Executive Plans – Executive members were asked to let Kirsten know if they are planning to step down next year so she can plan ahead to fill the positions.

●      2023 Planning

○      Planning discussion at next meeting

○      Bring ideas with plans for a leader to sponsor and lead the task as well as budget

○      Some ideas:

■      Construction – Staging area outhouse & picnic tables ($5k)

■      Construction – Communal firepit enhancements

■      Construction – Adult play/skills area

■      Trail Restoration – Arts Farts
