FVDRA Meeting Minutes

Minutes of Prior Meeting (Kirsten)

● Approval item – Moved - Margaret; Seconded - Sarah, Approved.

● Action item review – No action items from last meeting

Stakeholder & First Nations Engagement (Kirsten & Margaret)

● Yale First Nation update – no update

● BCORMA – Kirsten indicated that an infographic was found on line stating that FVDRA has received both of the grants for the Construction and Safety projects.

● Section 56 update – no further update. RSTBC is not able to discuss Section 56 application at

this time until the transition to the Ministry of Environment is completed.

● Barrick – Barrick has agreed to pay for the information kiosk panels. On order.

● Cascade Lower Canyon Community Forest – no update

Membership Report (Margaret & Ann)

● March membership drive summary – 9 Single & 15 Family memberships sold

● Membership total YTD – 26 Single & 39 Family memberships sold. Membership sales are

trailing 2021 sales, probably due to the poor weather and the pandemic restricted other

recreational activities during 2021 which diverted many to dirtbiking and the FVDRA.

Communications Report (Kirsten & Nicole)

● Facebook and Instagram activity update – Activity on both social media platforms has

increased significantly. There is more conversation going on between members. Posting of

events hasn’t generated a lot of response.

Finance Report (Sylvie)

● YTD Performance against budget (Sylvie)

○ Sylvie reviewed the finances.

● Grant update (Kirsten)

○ CLCCF actual spend to date - $9,111.88

■ Firepit deposit – scheduled for May 23rd completion

■ 12 picnic tables – 8 delivered, 4 painted

■ 4 benches completed for delivery in May 2022

○ CLCCF committed to date – $11,581.88

■ Firepit balance (less $2,2250 contributed by BC ORV)

■ Crusher Chips ordered from Hope Readymix for May 30th, 2022

○ CLCCF Grant Awarded - $11,290.00

Trail Maintenance & Planning (Jack)

● Trail Maintenance status

○ April 16th, 2022 update – Work weekend was a great success. Many appreciated all the

work that was done.

○ May 14th, 2022 Plans – Head up to the higher trails with saws, work on clearing the

upper trails. Bridge Trail, I Am Canadian, Quail Trail and Going Postal could be worked

on by those that can not ride up to the higher trails.

● Trail Restoration status

○ Bridge Trail – Re-opened for downhill riding until trail settles in.

○ Hwy 99 – no progress

○ I am Canadian – Trail built up and walls pulled in to cover the timber which forms the

base of the trail. Some more road base could be used if time allows during the

construction work weekend.

● Trail Signage status - Order needs to be placed.

Grounds Maintenance & Planning (Kirsten)

● Picnic table update – Last four are coming to site during May 27th weekend.

● Fire pit update – Ready for pick up by Jeff James and Darrell Peck.

● Douglas FIr trees ordered

● Crusher Chips ordered for campsites

● Major construction to begin May 27th, 2022 over 11 days

● Kid’s Loop construction

○ Equipment update – Skid steers and dump trails and compactor rented & drivers

arranged.

○ Volunteer update – Pre-construction call organized prior to May 27th, 2022

○ Pre-construction zoom call – To be scheduled by Kirsten (Post Meeting Note: Done)

● Campground

○ Kiosk panel update – Yale panel design outstanding.

Event Planning

● 24 Hr Relay (Sarah)

○ Sarah outlined the event types, cost per team and cost per Iron Man. She described all

of the volunteers needed to hold the event and described the approval process for the

event if more than 100 riders are registered in the event. The budget forecast was

approximately break even and there is quite a bit of planning work to do and not

enough time.

○ Sarah recommended postponing the event and the executive discussed other events that could be held this year, such as a barrel race or family fun event, and what could be held in 2023.
