Minutes of Prior Meeting (Kirsten)

  • Minutes to be reviewed for the next meeting.

Stakeholder & First Nations Engagement (Kirsten & Theresa/Jennifer)

  • RSBC Section 57 – Kirsten checked with RSTBC and no update was available

  • Barrick - no update

  • Cascade Lower Canyon Community Forest- No update

  • BCORMA - no update

  • Yale First Nation - no update

Membership Report (Margaret & Ann)

  • Individual Memberships – YTD 18

  • Family Membership – YTD 24

  • Total Members YTD  – 88 members in total  

  • Waiver administration issues

    • 7 need to still sign a waiver, bugs in the system are being fixed. 

Communications Report (Nicole)

  • no update as Nicole was absent

Finance Report (Theresa) 

  • $25,508 cash in RBC

  • Balance Sheet update - $27,402 in assets

  • Still waiting for BC ORV grants to be awarded 

Trail Maintenance & Planning (Jack)

  • Trail Maintenance- 

    • Heading  to the higher grounds to clear up the upper trails.

    • Quails trail has a tree down that will need to be cleared

    • Trails for the 24 hour will need to be ridden and cleared in order to have trails ready

    • The surface of the bridge trail needs to be rebuilt, add corrugated steel for the face of the bridge. 

    • Too Tight is still in progress.

    • Make sure new trails are not being cut, try to keep in with already marked out trails on the current map. 

  • Trail Restoration

    • AOK

    • Art’s Farts – to be worked on at maintenance day

    • 2+2 and Bypass

    • Mildly Amusing

    • Lower East Hydro Trail – reopened

    • Ted’s Glass Eye

    • 401 Bypass – reopened, needs to be GPS’d and submitted to Trail Forks

    • Lost & Found – reopened, needs to be GPS’d and submitted to Trail Forks.  Bridge built by Sandve’s.

  • Trail Signage - awaiting BC ORV grant before additional trail signage can begin

Grounds Maintenance (Kirsten)

  • Nickelmine Campground/Outhouses- to be updated to accessible 

  • Staging Area – picnic tables and fire rings installed in staging area

Grant Applications (Kirsten)

  • Cascade Lower Canyon Community Forest (CLCCF)

    • Kirsten will pick up the ripping chain saw and purchase wood products for an accessible outhouse.  Making good progress spending the CLCCF grant.

  • BC ORV Trails and Construction Funding grant

    • Submitted February 17th, 2023

    • No update as to status of grant approval

  • BC ORV Education and Safety grant

    • Submitted February 17th, 2023

    • No update as to status of grant approval

Events & Races (Sarah, Tim & Nicole)

  • 24-Hour race preparation update

    • Front Counter submission update - Sarah spoke with a Front Counter contact and 100 people can participate in the 24-Hour Marathon so registration will be limited accordingly.

    • For 2024, application would need to be submitted right away to so that we can exceed the 100 person limit, but we may still not receive approval in time, even for next year.

    • Teams will be limited to 5 people,  19 teams with 5 ironmen.

    • At present, the Lottery Event is considered the same event so is included in the 100 participant limit. If we hear otherwise from Front Counter, we will adjust the number of teams allowed in the Lottery Event.

    • Volunteer review : pre sweeping, check in and signup, riders meeting, race starts at 12-12, 4 hour shifts, manual backup, lunch, coffee and muffins, road crossing person for main road, swampers, helpers, sweepers to check trails as race progresses.

    • Budget review - Concession funds, t-shirt sales possibly, 50/50 sales, sponsors,  If a second race is approved, the budget will change but for now, we plan to break-even with some risk to the negative balance side.

  • Margaret and Nicole will consider hosting a family events similar to the rodeo that was held a couple of years ago
