FVDRA Meeting Minutes

March 8, 2022, 7 - 8:30pm Zoom

Minutes of Prior Meeting

● Approval item

○ Approved by Sarah Williams and seconded by Margaret Althaus, approved unanimously

● Action item review

○ Code of conduct hung in kiosk Feb 21st

○ Future posts on Facebook and Instagram re. thanks for CLCF funding (complete) and BCORMA Trail Supporter Funds upcoming.

○ Jack Foster and Kirsten Peck to continue strategic posts to gear up for new riding season, encourage maintenance, celebrate construction goals, and drive memberships.

Stakeholder & First Nations Engagement (Kirsten & Margaret)

● Letter of Understanding – Rescinded

○ Although this impacted the ORV funding application, Kirsten with help from Dan Bradley & Peter Sprague revised the application to focus on kid’s learner loop/campground which is on Barrick’s lease lands and not part of the LOU. Some trail maintenance signage also included in application.

● Section 56 update

○ Pushing forward with this. It is a big application because CLCCF boundary is one of the largest in existence and may possibly take more than a year to complete.

● Barrick

○ FVDRA continues to have a good working relationship with Barrick, currently focusing on kiosk panel design.

● Cascade Lower Canyon Community Forest – Board meeting

○ Kirsten and Margaret gave a presentation to the board of the CLCCF thanking them for the grant and explaining how the money will be used to improve the campground.

● Yale First Nation

○ Chief Hanson asked us not to ride or have campfires during extreme heat events or fire bans. FVDRA will post reminders on Facebook and Instagram to let ridership know when riding should be curtailed and campfires are banned.

Membership Report (Margaret & Ann)

● Membership total YTD

○ 12 single and 20 family memberships have been purchased to date for a total of 74 individual members.

● February new member summary

○ 58 are returning members and 16 are new members.

● Executive member summary

○ Many of the executive members have renewed their memberships, but not all.

○ ACTION: Marg A to email Executive members that have not yet purchased 2022 memberships to do so as soon as possible (Post Meeting Note: Complete).

Communications Report (Kirsten & Nicole)

● Facebook activity increasing, Instagram response low

○ ACTION: Continued messaging relating to May 27th work weekend, trail maintenance days, and other events will be posted by Kirsten and Jack.

Finance Report (Sylvie)

● YTD Performance against budget (Sylvie absent so Kirsten reported using reports Sylvie provided)

○ Current assets (paypal and RBC) down slightly as CLCCF grant not yet deposited and some funds for campground improvements already being spent.

○ ACTION: Sarah Williams to deposit CLCCF check after picking it up from Sylvie’s husband as Sylvie is away (Post Meeting Note: Complete).

● Grant update (Kirsten)

○ CLCCF actual spend to date - $4,412.17

○ Firepit deposit

○ 12 picnic tables

○ CLCCF committed to date – $6,882.17

○ CLCCF Grant Awarded - $11,290.00

○ Kirsten requested approval to spend up to $1,000 of the BCORMA Trail Supporter funds received this year on Crusher Chip order for campsites as prices have gone up since the application was submitted. Approved by Sarah Williams and seconded by Margaret Althaus, approved unanimously

● Insurance update – CLCCF added to Insured of CGL

○ Sylvie added CLCCF to insured as part of the agreement for the grant.

Trail Maintenance & Planning (Jack)

● Trail Maintenance status

○ Chainsaw maintenance complete

■ Darrell returned chainsaws and hedger to storage locker after completing maintenance.

■ ACTION: Kirsten to send storage locker codes to Jack so he can access the equipment (Post Meeting Note: Complete).

First trail maintenance day changed to April 16th, 2022

■ ACTION: Jack to post more information on Facebook and Instagram (Post Meeting Note: Complete).

● Trail Restoration status

○ Will determine this once trails are accessible.

● Trail Signage status

○ Need to wait and see if the ORV funding is approved before we purchase signage. Grounds Maintenance & Planning (Kirsten)

● Outhouse update

○ Kirsten reported that the unstained inside of outhouses are moldy.

○ ACTION: Clean with bleach and paint once conditions allow.

● Picnic table update

○ Staining / construction

■ Three families to stain / construct / deliver sets of four tables. First batch done, second in progress, third batch still to be delivered. Thank you!

● Fire pit update

○ Delivery

■ Will need some help bringing them up and have canvased executive(s) that live in Chilliwack area.

● Douglas Fir trees ordered

● Major construction to begin May 27th, 2022 over 11 days

● Detailed task list completed

● Request for volunteers to be made by Mid March

■ ACTION: Facebook Event with above list asking for volunteers to be posted soon. Kirsten with help from Sarah will investigate how to do this.

● Learner Loop

○ Firming up 2 of 3 skid steers (Dave Althaus & Avery Lunggren)

■ Still to be confirmed.

Campground

○ Kiosk Trail Map update

■ Trail map is up!

○ Kiosk panel update

■ Four panels representing Yale First Nation, Barrick, CLCCF, and FVDRA are almost done and should be ready by Easter weekend.

Event Planning

24 Hr Relay (Sarah)

○ Some thought has been given to the route of the relay, but more work must be done on this.

○ ACTION: Kirsten will send Sarah a link on how to structure the event and Sarah will carry it out.

○ ACTION: Sarah will set up a “save the date” on Facebook for the event.

● Other

○ Volunteers requested to do guided tours/orientation rides.
