Stakeholder & First Nations Engagement (Kirsten & Theresa/Jennifer)

  • RSTBC Section 57 – no update from RSTBC despite requests for meeting 

  • Cascade Lower Canyon Community Forest (CLCCF) – no update

  • BCORMA - no update

  • Yale First Nation - Former Chief Hansen stepped down and didn’t run for the recent election.  Chief Troy Peters elected and we will have to establish a new relationship with him.

  • Barrick - No update


Membership Report (Margaret & Ann)

  • Individual Memberships YTD -  96

  • Family Membership YTD - 79

  • Total Members YTD -  296

  • Waiver administration status -  The process is stabilizing

Communications Report (Kirsten)

  • Chat in the recently posted maintenance event is seeing very inappropriate spam.  Chat function will be disabled for events.

Finance Report (Theresa)

  • Theresa provided a summary of the financial status of the club.  A loss of approximately $2,000 has been recorded for 2023 due to the financial commitments that were irreversible for the cancelled 24 Hour Marathon. Most of the purchases made such as trophies and t-shirts will be used in 2024, but the insurance costs are not recoverable.

Trail Maintenance & Planning (Jack/Kirsten)

  • Trail Maintenance- face slappers, drainage, signs, 

  • Trail Restoration

    • AOK - reopened

    • Art’s Farts – reopened

    • Lower East Hydro Trail – reopened

    • Lost & Found – reopened

    • Mildly Amusing - reopened

    • Ted’s Glass Eye - planned reopening deferred until 2024

    • 2+2 and Bypass - in good condition

    • Heat Stroke - reopened (weren’t able to determine original name)

    • 401 Bypass – reopened

    • Spodes Connector

    • Geez Louise - reopened- Needs some work this weekend (face slappers)

    • Teleport - reopened

    • Telegraph Trail - reopened

    • Spagnum - reopened

  • Trail Signage - Some trails are marked with difficulty and directional stickers until we can order more name labels. 35 stop signs have been installed on FSR/trail head intersections.. 

  • Quads on single track trails- the trail signs are slowly being updated indicating whether the trail is Quad friendly or not.  Will continue into 2024.

  • Trail Forks has been updated for all new and reopened trails. 

Grounds Maintenance (Kirsten)

  • Nickelmine Campground/Outhouses - the outhouses are being kept very clean by the recreational users, which is awesome to see.

  • Pit Pass Campground/Outhouse - Structurally the outhouse is fine.  It needs new windows and a door latch..

  • Staging Area - No update 

Grant Applications (Kirsten)

  • Cascade Lower Canyon Community Forest (CLCCF)

    • All projects completed and funds have been spent and the Completion Report needs to be written and submitted.

  • BC ORV Trails and Construction Funding grant

    • All projects completed and funds have been spent.  The Completion Report needs to be written and submitted.

  • BC ORV Education and Safety grant

    • Most projects are completed.  Kirsten will complete the projects identified in the grant and then prepare and submit the completion report to RSTBC. 

Events & Races (Sarah, Tim & Kirsten)

  • 2024 Event Calendar on Facebook – Kirsten proposed that we make better usage of the Events function in Facebook and list the following content, well in advance for those that plan ahead and book their weekends.

    • Maintenance Days

    • General Club Meeting Days

    • 24-Hour race

    • Orientation rides- (Spring), New riders, new to area, Ladies ride

    • Other?

  • 24-Hour race -

    • Proposal for 2024 - May long 2024 (if Vedder doesn’t take), or July after Monkey Wrench

    • Theresa requested that a Sponsor Tracking spreadsheet is created that lists the Sponsor, the amount of sponsorship or items donated, and the location of storage for the items (Margaret, Sarah, Theresa)

  • Rodeo update

    • There are currently no plans for a 2024 rodeo

New Business

  • AGM Preparation (NOV 14, 2023)

    • 2024 Budget draft

    • Executive Position Nomination Summary - 6 positions up for re-election per Bylaws.

      • Membership - Margaret Althaus (compliance and member engagement) and Ann Dumas (member package coordinator) co-nominated

  • 2024 Improvement Ideas

    • Dust Control around main campground – Action:  Kirsten to inquire as to CLCCF grant could fund (OUTSTANDING)

    • Safety Barriers – used for speed control on road in front of main campground

    • Trail maintenance - Sesame Street and other trails, erosion control ($1,200)

    • Staging area Kiosk maintenance

    • Viewpoint bench - Trail That Never Was

    • Club Brochures

    • Chainsaw bags (chainsaw, tools, chains, etc.)

    • Pit Pass Campground Improvements (Sponsor outstanding)- Picnic table, fire rings, second outhouse
